At Yoga Kiran, we curate intimate, high-altitude retreats that require extensive planning, bookings, and non-refundable payments well in advance. In order to maintain the quality and integrity of our offerings, we have a clear and firm cancellation policy in place. By registering for the retreat, you agree to the following terms:

📅 Cancellations & Refund Schedule

✅ Cancellations made on or before 30th August 2025

• Refund Amount: 75% of the total retreat fee
• Note: 25% is retained to cover pre-booked expenses and administrative fees.
• Option: You may also choose to transfer your booking to a future retreat within the next 12 months, subject to availability (one-time transfer only).

✅ Cancellations made between 1st September – 20th September 2025

• Refund Amount: 50% of the total retreat fee
• Note: At this stage, major costs (stay, food, logistics) are committed, and only a partial refund can be accommodated.
• Option: You may choose to transfer your registration to another person. Please notify us with the new participant’s details at least 5 days before the retreat. They will have to go through our application process.

❌ Cancellations made on or after 21st September 2025

• Refund Amount: No refund
• Reason: All retreat costs are fully committed. This includes accommodations, permits, transport, and local support staff.
• No exceptions will be made for medical, family, work, travel, visa, or personal emergencies.
• Note: You may choose to transfer your registration to another person. They will have to go through our application process.

We understand that life is unpredictable. However, we are unable to make exceptions beyond the stated timeline due to the nature of remote retreat planning and our commitment to local partners, staff, and accommodations.

🔁 Substitution Option

If you are unable to attend the retreat for any reason, you may propose a substitute participant, provided:

• They meet all the physical, emotional, and medical requirements of the retreat
• They undergo the same application and approval process as every participant
• The substitution is requested and completed at least 7 days before the retreat begins

We reserve the right to approve or reject any substitute participant based on retreat suitability and group dynamics.

❌ No Partial Refunds

• No partial refunds will be given for:
  • Late arrivals
  • Early departures
  • Missed sessions or activities
• The registration amount paid at the time of booking is non-refundable under all circumstances unless the retreat is cancelled by Yoga Kiran.

📩 Cancellation Procedure

To cancel your registration, you must email us at info@yogakiran.org with the subject:
“Retreat Cancellation – [Your Full Name]”.
If eligible, refunds will be processed within 14 business days.

⚠️ Force Majeure

In the rare event that the retreat must be cancelled or postponed by us due to natural disasters, pandemics, political unrest, or government restrictions:

• Your spot will be transferred to a rescheduled date
• Refunds will not be issued, but credit will be applied to the future retreat
